Posting behaviour

Negative Sales allows you to define how to post negative sales invoices to the general ledger. In this article, you'll learn how this feature works and which behaviour works best for your business processes.

Basic principle

If you enable Negative Sales and start posting negative sales invoices, the amounts will be posted to the general ledger using the standard sales account for the posting group combination in the sales line. However, you might want to post fully negative sales invoices, or negative lines in a negative document to the sales credit memo account for that posting group combination. This will allow you to split the sales amounts in your income statement.

Enable changing posting behaviour

To change the posting behaviour, you must enable the feature.

  1. Search for Setup - Negative Sales
  2. Toggle the switch for the field Change posting behaviour to the on position

That's it! You should now see a new FastTab where you can configure the feature.

Types of posting behaviour

  1. Unchanged There will be no changes in retrieving the account to post to.
  2. Post full document on credit accounts If the sales invoice is negative, the whole document is posted to the credit memo accounts for the combination of posting groups for each line.
  3. Post negative lines on credit accounts If the sales invoice is negative, the lines that have a negative amount are posted to the credit memo accounts for the combination of posting groups for each line.

Things to be aware of

  • Negative Sales will not change the posting behaviour of negative lines in documents that have a total amount that is positive.
  • Positive credit memos, which are used for correcting negative sales invoices, will be posted to the standard sales accounts instead of the credit memo accounts, so the posting behaviour is mirrored and consistent.
